Who this is for
Section titled “Who this is for”Any team member — agent, admin, or owner — who needs to find, download, or trace a document Koffyr has generated or received for your agency.
Before you start
Section titled “Before you start”Documents appear automatically as your agency issues COIs and other certificates — no manual upload is required for Koffyr-generated documents. Your agency’s document vault is accessible from Library → Documents.
Step-by-step
Section titled “Step-by-step”View your documents
Section titled “View your documents”- Go to Library → Documents in the left navigation.
- The page loads in two sections:
- Owned by us — documents whose originating vault belongs to your agency (certificates you have generated for clients, for example).
- Shared with us — documents shared with your agency from an insured’s vault; visible while the originating COI request is active and within its access window.
Understand a shared document
Section titled “Understand a shared document”- In the Shared with us section, each row shows:
- The source organization (the insured the document belongs to).
- A link to the originating request — click it to open the request detail.
- An expiry badge showing how long your access lasts (for example, “Expires in 2532d”). When no badge appears, access is open-ended.
- Once a request reaches a terminal state (declined, cancelled, expired, or terminated) and the access window has passed, the shared document no longer appears in this section.
Download a document
Section titled “Download a document”- Locate the document in either section.
- Click the Download icon on the row.
- The file downloads to your device automatically.
Rename or delete an owned document
Section titled “Rename or delete an owned document”- In the Owned by us section, click the Edit icon on a document row to open a rename dialog.
- Enter the new name and confirm. The change takes effect immediately.
- To delete an owned document, click the Delete icon on the row, then confirm in the dialog that appears.
Note: Shared documents from the ‘Shared with us’ section are read-only — Edit and Delete actions are not available on those rows.
What happens next
Section titled “What happens next”- Issued COIs land in the Owned by us section automatically when a request is approved and the certificate is rendered.
- When your agency is granted shared access to a document via a COI request, it appears in Shared with us immediately.
- Access to shared documents is time-bounded: by default, COI requests grant access for seven years (matching typical E&O retention). The expiry badge shows the exact countdown.
Troubleshooting
Section titled “Troubleshooting”A shared document has disappeared. The originating request moved to a terminal state (declined, cancelled, or terminated) and the access window has expired. Check the request’s current status on the Requests page.
I can’t see any documents. Your agency must have issued at least one COI request — documents are generated at issuance, not before.
