Agreements
Who this is for
Section titled “Who this is for”Owners and Administrators who manage the acceptance items — terms, disclosures, authorization statements — clients see during a request. These are configured once and reused across request types.
Before you start
Section titled “Before you start”- You must be an Owner or Administrator to create, edit, or delete agreements.
- Draft your agreement text in a plain text editor first. The built-in editor supports rich formatting, but long pastes from Word sometimes carry unexpected styling.
Step-by-step
Section titled “Step-by-step”Agreements are short text documents that clients accept or decline during a request. Use them for:
- Terms and conditions
- Data sharing or privacy notices
- Authorization statements (e.g., “I authorize my agent to bind coverage on my behalf”)
- Service agreements or acknowledgements
An agreement is not a fillable form and not a PDF — it is text that renders inline in the client’s browser so they can read and check a box. Add agreements to a Playbook so they are presented to the client each time that Playbook is sent.
Create an agreement
Section titled “Create an agreement”- Go to Library in the left sidebar and select Agreements.
- Click New agreement.
- Enter a Title — this is shown to the client as the agreement name.
- Optionally enter a Description — a brief summary shown before the full text (clients see both).
- Write or paste your agreement content in the rich-text editor. You can apply headings, bold, bullets, and links.
- Toggle Required if the client must accept this agreement to proceed. Leave it off to make acceptance optional.
- Click Save.
Insert template variables
Section titled “Insert template variables”The editor supports three variables that are substituted with client-specific values when the agreement is rendered:
| Variable token | What it resolves to |
|---|---|
{{connection_name}} | The client’s (account’s) display name |
{{request_date}} | The date the request was sent |
{{connection_email}} | The client’s primary email address |
To insert a variable, place your cursor in the editor where you want it, open the variable picker in the toolbar, and select the variable. It appears as a highlighted token in the editor and is substituted at send time.
Note on variable labels. In the variable picker, the options are currently labeled “Connection name” and “Connection email” rather than “Account name” and “Account email” — an older term that hasn’t been fully renamed yet in the picker UI. The rendered output in client-facing text will use the actual client name and email correctly regardless of what the picker label says.
Edit an agreement
Section titled “Edit an agreement”Click any agreement title in the list to open the editor. All fields — title, description, content, and Required flag — are editable. Save when done.
Mark an agreement as required or optional
Section titled “Mark an agreement as required or optional”The Required toggle is available inside the editor panel. Toggle it on if clients must accept this agreement before they can submit their request. If Required is off, the client sees the agreement but can proceed whether or not they accept it.
Delete an agreement
Section titled “Delete an agreement”From the Agreements list, click the actions menu next to an agreement and select Delete. Deletion is immediate. Agreements already accepted on past requests are preserved in the audit record.
Troubleshooting
Section titled “Troubleshooting”- Variables are showing as literal tokens (e.g.,
{{connection_name}}) in the client’s view. This usually means the agreement was saved before the variable picker resolved the token, or the content was pasted with extra characters around the token. Delete the token in the editor, reinsert it using the variable picker, and resave. - I cannot find the variable picker in the toolbar. The picker appears only when the editor is in focus and your cursor is inside the content area, not the title or description fields.
- A client says the agreement text is cut off. Very long agreements with complex formatting can occasionally have rendering issues in older browsers. Test in a modern browser. If the issue persists, simplify the formatting in the affected paragraph.
- I cannot edit or delete an agreement. Your role must be Owner or Administrator. Agents have read-only access to Library items.
Related
Section titled “Related”- Library overview — see how agreements fit alongside the Document Catalog, PDF Forms, and Playbooks.
- Playbooks — attach agreements to a Playbook so they are included in every request that uses it.
