Invite your team
Who this is for
Section titled “Who this is for”Agency Owners and Managers who need to add agents or other staff to their Koffyr workspace. You need Owner or Manager access to send invitations.
Before you start
Section titled “Before you start”Have the work email addresses for each person you want to invite. Each invitation is tied to a specific email; the recipient must sign in with that exact address.
Step-by-step
Section titled “Step-by-step”- Sign in and click Settings in the left sidebar.
- Select Members from the settings menu.
- Click Invite member.
- Enter the teammate’s work email address.
- Select their role: Owner, Manager, CSR, or Producer.
- Click Send invitation.
Koffyr sends a magic-link invitation email to that address. The invitation appears as Pending in your Members list until the recipient accepts it.
Every row in the Members list has an actions menu — the ⋯ button in the Actions column, visible to Owners and Managers. Which actions it offers depends on that member’s status, so you only ever see the ones that apply:
| Their status | Actions available |
|---|---|
| Pending — invited, hasn’t accepted yet | Edit role · Revoke invitation |
| Active | Edit role · Suspend member · Remove from org |
| Suspended | Edit role · Reinstate · Remove from org |
| Revoked | None — the row stays for your records |
Edit role changes what that person can do, using the same four roles you pick when inviting. Remove from org ends their membership permanently — unlike suspending, you can’t undo it from this page.
Revoking a pending invitation
Section titled “Revoking a pending invitation”If you sent an invitation by mistake, you can cancel it any time before the recipient accepts:
- Go to Settings → Members.
- Find the pending invitation in the list and click ⋯ in the Actions column.
- Select Revoke invitation. The invitation can no longer be accepted, and the row’s status changes to Revoked.
Suspending and reinstating a team member
Section titled “Suspending and reinstating a team member”Owners and Managers can temporarily block a team member’s access without removing them from the agency:
- Go to Settings → Members.
- Find the team member in the list and click ⋯ in the Actions column.
- Select Suspend member. Their status changes to Suspended and they can no longer sign in.
- To restore access, open the ⋯ menu on the suspended member’s row and select Reinstate. Their status returns to Active.
If your agency has only one active Owner, Suspend member and Remove from org are greyed out on that Owner’s row — promote another member to Owner first.
Leaving the agency
Section titled “Leaving the agency”If you need to leave your current agency workspace:
- Go to Settings → Members.
- Click Leave workspace in the card at the bottom of the page.
- Confirm. Your membership is removed immediately.
Note: Leaving is permanent via the UI. If you leave by mistake, contact support to be re-added. If you are the sole Owner of the agency, you cannot leave until you assign another Owner.
Managing members in a claimed insured or business-org workspace
Section titled “Managing members in a claimed insured or business-org workspace”If you’re an Owner or Admin of a claimed insured or business-org workspace (rather than an agency), the same Settings → Members page manages your team, but with its own role names:
- Owner — full control, same as an agency Owner.
- Admin — can manage members and settings, same as an agency Manager.
- Member — a regular team member.
- Viewer — read-only access; can see everything but can’t make changes.
Only Owners and Admins can invite, change roles, or remove members. Members and Viewers see a read-only list.
What happens next
Section titled “What happens next”Once the recipient clicks the link in their invitation email, they are added to your agency workspace with the role you assigned. They can sign in at any time after that using the standard magic-link sign-in flow.
Troubleshooting
Section titled “Troubleshooting”The invitation didn’t arrive. Ask the teammate to check their spam or junk folder. If it’s not there, verify you used the correct email address in the Members page. Revoke the pending invitation and resend it to the corrected address if needed.
My teammate accepted with the wrong email. If they signed in using a different address than the one you invited, they will not be joined to your agency. Revoke the original invitation, then send a new invitation to the address they actually used. They should accept the new invitation and contact support if they ended up in an unintended state.
