Signing a document
Who this is for
Section titled “Who this is for”This page is for people who have received a signing link from a Koffyr agency. You do not need a Koffyr account to sign.
Before you start
Section titled “Before you start”- You will receive an email with a signing link. Open it in any modern browser — no download or login required.
- The link is single-use and has an expiration date set by the agency. If your link has expired, contact the agency to request a new one.
Step-by-step
Section titled “Step-by-step”1. Open the signing link
Section titled “1. Open the signing link”Click the link in your email. The signing page opens in your browser, showing the document you have been asked to sign.
2. Accept the electronic signature disclosure
Section titled “2. Accept the electronic signature disclosure”Before you can fill any fields, you will see a disclosure explaining that your electronic signature is legally equivalent to a handwritten one. Check the box to consent, then click Continue.
3. Fill in the required fields
Section titled “3. Fill in the required fields”The document is displayed with highlighted fields for you to complete. Depending on what the agency has set up, you may see:
- Signature — draw, type, or upload an image of your signature
- Initials — a short initial block
- Text — a typed response
- Date — a date picker
- Checkbox — a single tick
- Radio group — choose one option from a set
- Select — pick from a dropdown list
Move through the document and fill in each field. The Submit button activates once all required fields are complete.
4. Submit
Section titled “4. Submit”Click Submit. Koffyr:
- Stamps your responses into the PDF
- Appends a Certificate of Completion recording your name, email, consent timestamp, IP address, and a tamper-evidence hash
- Applies a digital signature (PAdES-B-T) using a Valtio-owned certificate and a trusted timestamp authority
- Notifies the agency that the document is complete
5. Download your copy
Section titled “5. Download your copy”A confirmation screen appears. Click Download signed PDF to save your copy. The agency also receives a copy automatically.
Declining a document
Section titled “Declining a document”If you do not wish to sign, click Decline and confirm.
- Required documents — declining ends the entire request. The agency is notified and will need to reopen or re-send if they want to proceed.
- Optional documents — declining marks only that item as declined; the rest of the request continues normally.
What happens next
Section titled “What happens next”- The agency sees the signing status update immediately in their dashboard.
- If you signed, the agency can download your signed PDF and proceed to issue the certificate of insurance.
- If you declined a required document, you will receive an email confirming the request was ended.
Troubleshooting
Section titled “Troubleshooting”- The page won’t load. Try a different browser. The signing page requires a modern browser (Chrome, Safari, Firefox, Edge). Ensure JavaScript is enabled.
- My link is expired. Contact the agency directly — they can generate a new signing link.
- I made an error after submitting. Contact the agency. A completed signing cannot be undone; the agency must re-send the document for a new signing session.
- The PDF is not displaying. The document viewer loads a PDF worker in the background. If a browser extension (such as an ad-blocker) blocks it, the PDF canvas stays blank. Disable extensions for this page and reload.
