Who this is for
Section titled “Who this is for”Owners and Administrators who define the named categories of uploadable files their agency accepts from clients.
Note on names. “Document Catalog” is the display name you see in the app. If you use the API or CSV imports, the underlying data model is still called
DocumentType— same data, just a different label.
Before you start
Section titled “Before you start”- You must be an Owner or Administrator on your agency to create, edit, or delete Document Catalog entries.
- Plan your naming scheme before you start. Entry names appear in client-facing request packets, so use plain language your clients will recognize.
Step-by-step
Section titled “Step-by-step”A Document Catalog entry is not a file — it is a label that tells clients what kind of file to upload and tells the system how to classify it. Examples: Proof of insurance, General Liability COI, Workers’ Compensation certificate, Driver’s license.
You define your agency’s Document Catalog here in the Library. When you build a Playbook, you pick from this catalog to tell clients exactly which documents to provide.
Create an entry
Section titled “Create an entry”- Go to Library → Document Catalog.
- Click New document type.
- Enter a Name — this is what clients see on their request. Keep it short and descriptive (e.g., “Proof of insurance”).
- Optionally enter a Description — a one-line note that gives clients more context on what to upload.
- Check Required if clients must provide this document. Leave it unchecked to make it optional.
- Click Save.
Edit an entry
Section titled “Edit an entry”Open any entry from the list by clicking its name. You can change the name, description, or Required flag, then save.
Toggle Required inline
Section titled “Toggle Required inline”You do not need to open the editor to flip the Required flag. From the Document Catalog list view, click the toggle in the Required column next to any entry. The change saves immediately.
Delete an entry
Section titled “Delete an entry”From the list view, click the actions menu next to an entry and select Delete. Deleting an entry does not delete files that were already uploaded against it — those uploads remain on existing requests.
What happens next
Section titled “What happens next”A newly created entry becomes available to add to a Playbook so you can require it on future client requests.
Troubleshooting
Section titled “Troubleshooting”- I deleted an entry by accident. Deletion is immediate and cannot be undone from the UI. Recreate the entry with the same name. Existing uploads on past requests are not affected.
- Clients say they do not see the document type on their request. Confirm the entry is included in the Playbook attached to that request. Adding an entry to the Document Catalog does not automatically add it to existing Playbooks.
- I cannot edit or delete an entry. Check that your role is Owner or Administrator. Agent-level roles have read-only access to the Library.
