Insured self-service COI portal
Who this is for
Section titled “Who this is for”Agency owners or admins who want their insureds to be able to request a COI themselves — without calling the office or emailing the team.
Before you start
Section titled “Before you start”- Your agency must have a coverage rule set up (see the Library → Rules section). Without rules, all self-service requests go to agent review.
- Your insured must have an account on Koffyr (an insured organization linked to your agency).
- Share the insured’s personal intake link with them — it looks like
app.koffyr.com/e/<insured-id>/intake. This link is specific to each insured.
How it works
Section titled “How it works”When an insured visits their intake link:
- Koffyr shows the agency’s logo and brand color so the experience feels familiar.
- The insured fills out the COI request form — coverage type, certificate holder, project details.
- Koffyr checks the submission against your coverage rules automatically.
- One of three outcomes is returned immediately:
- Auto-issued — the request met all rules; a certificate is generated and emailed automatically.
- Sent for review — the request needs an agent to approve it before issuing.
- Declined — the request was blocked by a rule; the reason is shown in the request detail on your dashboard.
What happens next
Section titled “What happens next”- The request lands in your Requests dashboard regardless of outcome.
- The insured sees a live status screen after they submit — it updates automatically as the status changes.
- If the request is queued for review, your team approves or declines it from the dashboard. Once approved, the certificate is issued and emailed.
- If the request is declined, the reason you set in the coverage rule appears on the request in your dashboard.
- The certificate requester receives a link to a recipient page where they can view the request status and download the issued certificate — no Koffyr account required.
Staying ahead of renewals
Section titled “Staying ahead of renewals”The Insureds → Expiring Policies view shows clients whose policies are approaching their renewal date. Use this list to proactively reach out and initiate COI requests before coverage lapses.
Troubleshooting
Section titled “Troubleshooting”- The intake link returns “Not found.” The insured’s organization may not be linked to your agency, or the link may be using a stale URL. Contact support to verify the insured is set up correctly.
- The status screen shows “Sent for review” but no agent has acted on it. Check your Requests dashboard — the request is waiting in your queue.
